AI for construction and contractors
AI for construction companies and contractors that clears the paperwork off your PMs' desks
AI helps a construction company by reading, sorting and drafting the documents that slow every job down: bid invitations, plans and specs, RFIs, submittals, change orders, daily logs and pay applications. Your estimators, project managers and supers keep every decision. The system does the reading, the chasing and the first draft.
Where the work piles up in construction
Bid invitations nobody has time to read
Invitations to bid arrive from BuildingConnected, email and plan rooms faster than an estimator can open them. Good-fit jobs get missed and poor-fit jobs eat hours of takeoff before anyone notices the bonding requirement or the scope gap.
Project managers buried in logs
RFI logs, submittal registers and change order logs live in Procore, a spreadsheet and someone's inbox at the same time. PMs spend their day reconciling them instead of running the job, and a missed response date turns into a schedule claim.
Change orders that never get billed
Field directives, T and M tickets and verbal approvals happen on site and never make it back to the office in a form the PM can price. Work gets done, the paper trail is thin, and the money is hard to recover at closeout.
Pay apps and lien waivers chased by hand
Every month someone assembles the schedule of values, collects sub pay applications, chases conditional and unconditional waivers and checks insurance certificates. One missing waiver holds up the whole draw.
Field knowledge that stays in the field
Daily reports are written late, in shorthand, or not at all. Photos sit on phones. When a delay claim or warranty call comes up months later, the record of what actually happened is hard to rebuild.
Hiring and safety paperwork that never ends
Certified payroll, toolbox talks, OSHA logs, JSA forms and new hire onboarding pull supers and office staff away from production. The work is required, repetitive and easy to fall behind on.

- AI agent
Bid invitation triage agent
An agent reads every incoming invitation to bid, pulls the location, bid date, delivery method, bonding and insurance requirements, trades and prevailing wage status, and scores the job against your go and no-go rules. It posts a short summary to the estimating channel each morning. Your chief estimator decides which bids to pursue.
- AI agent
Plan and spec scope summaries
The system reads the project manual and drawing set and writes a scope summary for your trade: the relevant spec sections, alternates, allowances, owner-furnished items, long-lead equipment and unusual requirements buried in Division 01. Estimators start with a map of the job instead of a 900-page PDF.
- Automation
Sub bid leveling
An automation collects subcontractor quotes from email and your bid portal, pulls inclusions, exclusions, qualifications and pricing into one leveling sheet, and flags scope gaps between bidders. The estimator reviews the sheet and makes the award call. Nothing is sent to a sub without a person approving it.
- Automation
Addendum change tracking
When an addendum drops, the system compares it to the prior set and lists what changed by sheet and spec section, then marks which sub quotes and takeoff items are affected. Estimators stop discovering on bid day that a quote was priced to the wrong set.
- Custom app
Historical cost lookup
A custom app searches your past estimates and job cost reports so an estimator can ask for unit costs, production rates or sub pricing on similar work by type, size and region. It shows the source job for every number so the estimator can judge whether it applies.
- AI agent
Proposal and qualifications drafting
An agent drafts the bid proposal, clarifications, exclusions and schedule narrative from your templates and the scope summary. The estimator edits and signs. Standard language stays consistent across every bid, and the qualifications that protect you do not get dropped under deadline pressure.
Project management and document control
Keep RFIs, submittals and meeting actions moving without a PM retyping them.
5 use cases
- AI agent
RFI drafting and logging
A PM or super describes the issue in a text, photo or voice note. The agent drafts the RFI with drawing and spec references, a suggested solution and a cost and schedule impact note, then logs it in Procore or your RFI log once the PM approves. It also reminds the design team as the response date approaches.
- Automation
Submittal register builder
The system reads the specifications and builds a submittal register: each required product data sheet, shop drawing, sample, mockup and closeout item, tied to its spec section and responsible sub. The PM reviews and imports it. Missing submittals show up at the start of the job, not at inspection.
- AI agent
Submittal pre-review
Before a submittal goes to the architect, the agent checks it against the spec section and flags obvious mismatches in model numbers, finishes, ratings or missing data. The PM still reviews and stamps it. Fewer submittals come back revise and resubmit for problems a first read would have caught.
- Automation
OAC meeting minutes and action items
The system turns the owner, architect and contractor meeting recording or notes into minutes in your format, with open items carried forward, owners assigned and due dates set. It drafts the distribution email for the PM to send. Old business stops falling off the list.
- Custom app
Project document Q and A
A custom assistant answers questions against a specific job's contract, specs, drawings index, RFIs and approved submittals, and cites the page it used. A super can ask what the spec says about fire caulk at rated walls and get the answer with the section number.
Field operations and scheduling
Capture what happens on site while it is still fresh, and keep crews where they need to be.
4 use cases
- Voice agent
Daily report from voice notes
A super records a two-minute voice note at the end of the day. The system writes the daily report: weather, manpower by trade, work completed, deliveries, inspections, visitors, delays and safety notes, and attaches the day's photos. The super reviews and submits it from the truck.
- Automation
Look-ahead schedule updates
An automation pulls daily reports, inspection results and delivery confirmations and drafts the three-week look-ahead for the PM, flagging activities that are slipping against the baseline in Primavera P6 or Microsoft Project. The scheduler decides what to resequence.
- AI agent
Sub and supplier coordination messages
The agent confirms crew start dates, material deliveries and inspection times with subs and suppliers by text or email, and logs each reply. When a sub does not confirm, it tells the super instead of assuming. The super stops spending the morning on the phone.
- Custom app
Punch list from photos and walkthroughs
During a walkthrough, the super dictates items and snaps photos. The system builds the punch list by room and trade, assigns each item to the right sub and sends it out once approved. It tracks completion photos against each item until closeout.
Change orders, billing and job cost
Get paid for the work you do and see cost problems while there is still time to fix them.
5 use cases
- AI agent
Change event capture
The agent watches RFIs, daily reports, field directives and email for anything that looks like added scope, a site condition or an owner request, and opens a potential change order with the supporting documents attached. The PM decides what to price and submit. Fewer changes get done for free.
- Automation
Change order pricing packages
Once the PM approves a change event, the system assembles the pricing package: labor from T and M tickets, material quotes, sub quotes, markup per the contract and a narrative citing the RFI or directive. The PM checks the number and sends it. Contract markup rules are applied the same way every time.
- Automation
Pay application assembly
Each billing cycle, an automation pulls the schedule of values, percent complete, stored materials and approved changes, drafts the AIA G702 and G703, and collects sub pay apps. The PM and project accountant review before it goes to the owner.
- AI agent
Lien waiver and COI tracking
The system tracks conditional and unconditional lien waivers and certificates of insurance for every sub and supplier, reminds them before each draw, reads returned documents for the right amounts and dates, and holds the payment flag until the set is complete. The accountant approves release.
- Analytics
Job cost early warning
A weekly report compares committed and actual cost to budget by cost code in Sage 300 CRE, Viewpoint Vista or QuickBooks, and flags codes trending over with a plain explanation of why. PMs and the owner see problems while the job is still underway, not at closeout.
Safety, compliance and closeout
Stay on top of required paperwork without pulling people off the work.
4 use cases
- AI agent
Toolbox talk and JSA drafting
The system drafts the week's toolbox talk and job safety analysis for the activities on the look-ahead, such as work at height, trenching or hot work, using your safety program as the source. The safety manager reviews and approves before it goes to the field.
- Automation
Certified payroll preparation
For prevailing wage jobs, an automation pulls hours by classification from your time system, checks rates against the wage determination on file, and drafts the WH-347 or state equivalent. Payroll staff review and sign. Rate mismatches are flagged before the report is filed.
- AI agent
Closeout package assembly
The agent builds the closeout checklist from the spec, then chases O and M manuals, warranties, attic stock receipts, as-builts and final waivers from each sub. The PM sees one list of what is still missing, and the owner gets a complete package sooner.
- Voice agent
Safety incident intake
When a near miss or incident is reported by phone or text, the system collects the facts in a structured form, notifies the safety manager right away and drafts the internal report. The safety manager decides on OSHA recordability and next steps.
Business development and leadership reporting
See the pipeline and the portfolio without waiting for month-end.
3 use cases
- AI agent
Owner and GC relationship follow-up
The agent tracks every bid outcome, pulls the award notice and drafts a follow-up to the owner or GC asking for feedback and upcoming work. Your business development lead reviews and sends. Relationships get touched after every bid, not just the wins.
- Automation
Prequalification package drafting
When a new GC or owner sends a prequalification form, the system fills it from your safety records, EMR, financial summaries, license numbers and project list. Your office manager checks it and signs. Hours of repeat typing become a review.
- Analytics
Win rate and backlog dashboard
A dashboard shows bids by status, win rate by market and delivery method, backlog by month and gross margin fade from estimate to closeout. Ownership sees which work actually makes money and where to bid next.

Guardrails for AI in construction
Construction documents carry contract, payment and safety consequences. The system is built so people own every decision that carries risk.
Contract notice and claim deadlines
Most construction contracts, including AIA A201 and ConsensusDocs forms, set written notice periods for claims, changes and delays. The system flags notice triggers and dates, but a PM or owner decides what to send. It never sends a notice or waives a right on its own.
Prevailing wage and certified payroll
Davis-Bacon and state prevailing wage laws require correct classifications, rates and signed certified payroll. AI drafts and checks against the wage determination on file, and flags mismatches. Payroll staff verify and a responsible officer signs every report.
OSHA recordkeeping and safety decisions
OSHA rules set what injuries are recordable and when they must be reported. The system collects incident facts quickly and alerts the safety manager, but it does not decide recordability or clear anyone to return to work. Those calls stay with trained people.
Lien rights and payment documents
State lien laws set strict rules for preliminary notices, waiver forms and deadlines. The system tracks dates and document status, uses your approved forms, and holds payment flags until a person releases them. It does not give legal advice on lien rights.
Drawings, bid data and confidentiality
Owner drawings and competitor pricing are often under NDA or bid confidentiality terms. Systems run in your own accounts, keep project data separate by job, use AI providers that do not train on your data, and limit access by role.

One flat monthly fee, month to month. How the engagement works
AI for construction and contractors: questions we get asked
How can AI help a construction company?
AI helps most with document-heavy work: reading bid invitations and specs, leveling sub quotes, drafting RFIs and daily reports, tracking submittals, assembling change orders and pay apps, and chasing lien waivers. People keep every pricing, contract and safety decision.
How much does AI cost for a construction business?
We work for one flat monthly fee, month to month, scoped on a strategy call around the workflows you want handled. There is no per-seat pricing and no long contract. Software costs for AI models and any tools are usually small next to the fee and are shown up front.
Will AI replace my estimators or project managers?
No. AI takes on the reading, retyping and chasing that fills an estimator's or PM's day, so they spend more time on pricing judgment, buyout, client relationships and running the job. Every number and every contract decision still goes through them.
What should a contractor automate first?
Start where hours are lost every week and the output is easy to check: bid invitation triage, sub bid leveling, daily reports from voice notes, or lien waiver tracking. These show results quickly and build trust before you move to change orders and job cost reporting.
Does AI work with Procore, Sage and our existing software?
Yes. Most systems connect through the software's own API, such as Procore, Autodesk Construction Cloud, Sage, Viewpoint or QuickBooks, or through email and shared drives when an API is not available. We build around what you already run instead of asking you to switch.
Can AI do quantity takeoffs from drawings?
AI can read specs and drawing sets to summarize scope, list items and flag changes between addenda, and it can speed up parts of takeoff. Dedicated takeoff tools and an estimator's review are still needed for quantities you bid on. We treat AI output as a first pass, never a final number.
Is our bid and project data safe with AI?
Systems are built in your own accounts with AI providers that do not train on your data. Access is limited by role and by job, and documents under NDA stay inside the project they belong to. You own the systems, the data and the prompts.
